How to import your assets

Asset Management for Jira allows you to import data such as a list of assets, locations, and loanees.

In this article, you’ll learn how to use the CSV importer, to create and/or update your assets. 

1. On the Assets page, click on Import in the top right.

2. On the next screen, you can download the sample CSV template provided so you can see how to format your CSV file. Click on Select a CSV file once your file is ready to be imported.

3. Once you upload your spreadsheet, you'll be presented with 3 options:

  • Create new assets
  • Update existing assets
  • Create new and update existing assets

Creating new assets

1. If you're importing new assets that don't currently exist in Asset Management for Jira, select the Create new assets option. 

2. On the next step, map the columns in your CSV file to the system fields. 

There are only 2 required fields that you need to map - the Asset Name and the Asset Type. The loanee and location fields are optional.


⚠️ Prior to mapping your Loanee field please note the following important information ⚠️

Jira users have complete control over the appearance of their names, whether it's displayed as full names (e.g., Janel Smith), first names only (e.g., Janel), or initials (e.g., J S) etc.

To prevent duplication of users when importing or bulk updating assets, it's essential to ensure that the formatting of names in your source document or software (e.g., spreadsheet, InTune, Kandji, etc.) matches the name format used in Jira.


We will automatically map the remaining columns in your CSV file to fields in Asset Management for Jira.

3. On the next screen you will be able to review and correct the data that will be imported. Any invalid rows (e.g. assets that are missing the asset name or asset type) will also be displayed so you can either remove or provide the missing information. 

Once you're happy, click on the Import button to start the import. 

Please make sure your date fields are formatted in YYYY-MM-DD

4. Depending on the number of assets to be imported, the importer can take a couple of minutes. Once it's finished, you'll see a confirmation message telling you how many assets were created.

To bulk update assets, you should first export your assets via the Export section. The exported file automatically includes the IDs that we will use to match the assets later, as well as any additional fields you selected.
Download and open the exported CSV file in any CSV editing software (Excel, Google Spreadsheets, etc).

Edit the columns containing the data you wanted to update. You can add any new information that you want to import as new custom fields during the import process.

Once you've updated the CSV file, follow the steps listed below.

1. Select the  Update existing assets, or Create new assets and update existing assets. If your file has an ID column, we will automatically select it. 

2. On the next step, map the columns in your CSV file to the system fields. 

There are only 2 required fields that you need to map - the Asset Name and the Asset Type. If you're using the Loanee and Location fields, map those as well. 

We will automatically map the remaining columns in your CSV file to fields in Asset Management for Jira.

Once you're happy, click on the Import button to start the import. 

4. Once the import finishes, you'll see a confirmation message acknowledging how many assets were updated.
