Integrate Retriever with Asset Management for Jira

Off-boarding just got easier. AMFJ now integrates with Retriever (Hello Retriever) a third-party device-return service, to help you recover hardware from remote employees.

Initiate returns directly from the employee's AMFJ User profile or the asset record, get notified of return status changes, and track returns directly from your Retriever Dashboard.

How to set up the Integration

  1. In Retriever, enable API access to generate an API key, and copy it.
  2. In AMFJ, go to AMFJ Settings → Integrations and click Connect next to the Retriever integration.
  3. Paste in the API key you copied from Retriever and click Connect.
  4. Fill out the connection details:
    • Recipient and return destination — the company information devices should be returned to.
    • Notification email — the email that receives status updates from Retriever about a return (for example, the Recipient's email or your JSM service desk email).
    • Asset type mapping — map your AMFJ asset types to the types Retriever supports. Retriever currently only handles returns as either Laptops or Monitors, so any AMFJ asset type you want to return (Tablets, Mobile devices etc.) needs to be mapped to one of those two categories.

How to Initiate a Return

There are a couple of ways to start a return. The first and most common is from the Users tab, as shown below. The second is from the device itself, which works the same way but for a single asset.

  1. From the Users Tab in AMFJ, Click on the employee you're off-boarding and select the Assets tab. This shows every asset currently assigned to them.

    Click Start Return.

Select each returnable assets , and whether to also request the corresponding charger for each one.

    • The action defaults to Return.
    • The employees name and email are pre-filled from the AMFJ User record.
  2. Enter the shipping address where the return box(es) should be sent.
  3. Click Continue.
  4. Review the Start Returns summary — it lists the devices being returned, the recipient's name, and their shipping address.
  5. Click Return [x] devices to confirm (the number reflects how many devices you selected).
  6. A results screen confirms each device has been sent to Retriever. Click Done to close it.

After you Submit

  • Each device return is logged in the Asset Activity and in the AMFJ Audit Log, each with its own Retriever order number.

In the Retriever dashboard, you can view the current status of each return.  Each return initially appears as Awaiting Shipment and as the status changes, an update email is sent to email addressed entered during configuration.
